HIPAA-safe review reply tool

Paste a review, choose a tone, and get a reply that thanks the reviewer and invites them to talk offline — without confirming they were ever a patient or mentioning any health information.

Private by design: this tool runs entirely in your browser. Nothing you paste is sent to us or saved anywhere.

What never to say in a public reply

  • ❌ Don't confirm the reviewer (or their family member) is or was your patient or client — even “thank you for choosing us” or “we loved caring for your mom” does that.
  • ❌ Don't mention diagnoses, conditions, medications, treatments, care plans or insurance.
  • ❌ Don't mention dates, visit times, which staff member went, or what services were provided.
  • ❌ Don't repeat, correct or add to details the reviewer shared — even if they posted them publicly themselves.
  • ❌ Don't argue or tell your side of a specific incident in public.
  • ❌ Don't offer refunds, discounts or gifts in exchange for changing or removing a review.
  • ✅ Do thank them, say you take feedback seriously, explain that privacy rules keep you from discussing any situation online, and invite them to contact your office directly.
  • ✅ Do verify who you're talking to before discussing anything offline.
  • ✅ If a review alleges abuse, neglect or a safety problem, follow your agency's incident and state reporting procedures — a public reply is not enough.

General guidance only, not legal advice. Federal regulators have penalized healthcare providers for disclosing patient information in replies to online reviews. When in doubt, ask your privacy or compliance officer before posting.
